Welcome to the start of another year for MPI WestField.

Fall may be upon us, but the board has been busy all summer working on plans for a great line up of educational programs, unique and fund special events with plenty of opportunities to network and build relationships.

In this edition we'll recap the chapter's most recent events, and provide a preview of the programs and events coming up as well as recognize our members and sponsors.

MPI WestField will be hosing a Committee Fair as part of our October Education Event at the Hilton Westchester in Rye Brook.

Our Chapter is only as strong as our volunteer members and the Chapter needs your involvement. MPI WestField offers a wide range of opportunities to lend your time and talents in many different areas. Please stop by the Committee Fair and talk to one of our chapter members about volunteering.

September 2018 Education Event

Crowne Plaza White Plains hosted our first Eduction Event of the Year which featured Data Privacy expert Bruce Smith of Tenax-Analytics who spoke of the impact of GDPR and Data Privacy on the events Industry

White Plains Mayor Thomas M Roach also attended our event spoke to the Chapter about the importance of meetings and events to White Plains and also presented MPI WestField with a proclamation declaring September 18th as Meeting Professionals International Day in White Plains.

In Memoriam

On a sadder note, MPI WestField recently lost one of it's past Presidents and original members, Jeff Forger CMP.

Jeff was a member of the original board and a founding member of the chapter as well as President from 1992-1993. Our deepest condolences go out to his family.

MPI WestField 30 year Anniversary

This year marks the 30th anniversary of the founding of MPI WestField and we are planning a special celebration to commemorate it. Look for more details on our website and in emails. You can also follow us at #mpiwc30.

Thirty years is quite a milestone and one of the unique things that makes MPI WestField special and keeps it going, is the long term dedication and commitment of its members and its leaders which can be seen in this photo from our recent Presidents Reception.

New Website

Over the summer as part of an MPI global initiative, the MPI WestField website was given a dramatic make over. If you haven't visited our new site yet, take a look HERE.

 

Calendar Update

As part of the new website, MPI WestField has now been able to provide something its members have been asking for for a long time. MPI WestField can now link it's calendar with other area MPI chapters. Now you can see all the area MPI events in one place - from New England to New Jersey!

MPI WestField Community Outreach Making Strides Against Breast Cancer Walk

Please join team MPI WestField in our 2018-2019 community outreach and register to walk (rain or shine) with us in the fight against breast cancer. As our chapter spans over both Fairfield County Connecticut and Westchester County New York, we have elected to provide two locations with two dates so you can choose to walk in either, or both.

For those of you interested in participating, entry is free to join this 3 mile non-competitive walk and everyone (family, friends, colleagues) is invited to join our team and may register at any time through the corresponding links below. While fundraising is optional, should you choose to donate or raise money for the American Cancer Society, you may do so for either walk, using either link.

Top 3 Tips Planners Need to Know when Hiring Speakers

“It’s so disappointing! I ran into another speaker whose marketing material and email was outstanding…but their presentation didn’t measure up. How can I validate the speaker inquiries and find quality presenters?!”

This is not the first time I’ve heard something like this. Here are 3 tips to help you make the best choice for this very important decision that can make or break your event.

You need to see them. Best option is to see them first hand. If not, get a recommendation from someone you trust who has seen them speak live. Sizzle/demo reels are good but it’s incredibly easy to cut 20 seconds of good stuff from an hour-long presentation and make it look amazing. (I know- I have one!) But the speaker should be able and willing to produce an uncut video as well. A TED talk, a 15-20 min presentation. Don’t fall for the “My reel is being updated right now” excuse.

Responsiveness is a pattern. If you reach out to a speaker and they don’t get back to you within 48 hours, there’s a chance the “I went away on vacation and there’s no internet in Bali” excuse is true. But often, responsiveness is a habit. And if there’s a delay in them getting back to you once or twice…there may be a delay in them getting you the contract, headshot and blurb, or AV requirements in the timely manner you require.

You get what you pay for. I’m not saying that a $100,000 speaker is exactly 100x better than one who will do it for $1,000, because that’s not always the case. But there is a level of expertise, energy, and connection you get from a professional speaker that you can’t get from someone who also has a ‘real job’. It’s become common place to ask speakers to present for next to nothing…because they do. Most speakers do it because they have a passion for it. They believe in their message and want to share and give. However, professional speakers can only stay in business if they get paid to speak. And those who make it through and do it for a living are typically more serious about ongoing personal development, staying abreast of trends, and customizing programs.

Ways To Better Manage Your AV Budget

Today, Audio Visual is an integral part of nearly every meeting and event. It can also be expensive and at times confusing as well. If you are really serious about controlling your AV costs, start thinking about AV as early as possible. The best time is during the site selection process and before contracts are signed as this provides the most options, flexibility and control. Here are some tips to help better manage event AV costs.

1. Recognize That You Always Have A Choice

It's your show and it's success lies in part with how well the AV performs. Make sure you maintain the right to choose who provides your AV to ensure that success. Do not assume that the in-house AV provider is your best option and do not be pressured or misled into believing that you must use the in-house provider. Always make sure your contracts give you the option to bring in your own AV provider without penalty. You are the customer after all and you should always be able to choose what is best for your event.

2. Understand How AV Costs Are Determined

To truly save on your AV costs, you need to know how the costs are determined particularly when it comes to in-house AV providers.

Understand that the in-house AV provider is almost never a part of the venue. They are an independent audio visual company who pays a commission to the venue or a block of venues to become their in-house provider and to have access to the venue's groups. In some cases, they may pay large signing bonuses upfront to get the contract.

The AV company owns the gear and also pays the salaries of any AV staff at the venue and as well as any temporary AV contractors that might be needed. The venue isn’t responsible for any of these expenses. They simply provide the AV company with an office and a space to store the equipment.

Since the AV provider is the one incurring all the costs, equipment rental rates must be set to recoup the signing bonuses and commissions as well as cover their operating expenses and still provide a profit.

As a result, it is usually more expensive to use the in-house provider. Often considerably more expensive.

So while the in-house provider may be an easy and convenient choice, the question becomes does that ease and convenience justify the additional cost?

Outside AV providers do not come with as much overhead and can therefore do a job that is just as good if not better than in-house, for less. So, do the math and figure out what works best for your event and budget before committing to your AV provider.
